Equipment Listing

Data Source: CGIBASE

To open the Equipment Listing screen, click the Equipment Profile link on the Product Support Quick Links screen, Management Central Quick Links screen, or Customer Portal screen.

Click the View Detail icon next to the Trade in Inventory field on the Sales Support Portal screen.

The Equipment Listing screen allows you to search for equipment, add equipment to an invoice and create a new equipment profile.

For information on searching methods, please consult this document.

Note:  When searching for an equipment profile enter the appropriate search criteria. If only one profile entry is found, the system will automatically open the Machine Profile screen displaying the corresponding equipment profile.

Move the cursor over the Chevron and select either Save Defaults or Reset Defaults from the drop down list to save or reset your search field defaults.

Note:  This option is not available when accessing the Equipment Listing screen through the Customer Portal.

The following sorting options appear on the Equipment Listing screen:

Note:  Sorting options will not appear when accessing the Equipment Listing screen through the Customer Portal.

Sort by
Field Description
Stock Number Sort the search results by stock number.
Make/Model Sort the search results by make/model.
Hours Sort the search results by meter hours.
Group Sort the search results by group code.
Serial Number Sort the search results by machine serial number.

The following are the different status options for selecting equipment:

Status
Field Description
All Search through all status options for the selected unit.
Invoiced Search Invoiced equipment status (the unit has been invoiced to a customer) for the selected unit.
Inventory Search Inventory equipment status (the unit is physically in stock) for the selected unit.
On Order Search On Order equipment status (the unit is on order with the supplier) for the selected unit.
Sold Search Sold equipment status (the unit is physically in stock and has been tagged for a particular customer) for the selected unit.
Pre Sold Search Pre Sold equipment status (the unit is on order with the supplier for a specific customer) for the selected unit.
Rental Search Rental equipment status (the unit is a rental unit) for the selected unit.
Quote Search Quote equipment status (the unit is being priced for a customer) for the selected unit.
Transferred Search Transferred equipment status (the unit has been transferred to another dealer) for the selected unit.

The following search fields appear on the Equipment Listing screen:

Field Description
Select Stock Number Search for a stock number by entering a stock number.
Select Make/Model Search for a stock number by entering a make/model code.
Select Customer Number Search for a stock number by entering a customer number.
Select Supplier Invoice Search for a stock number by entering a supplier invoice number.
Select Fleet # Search for a stock number by entering a fleet number.
Select Salesperson Search for a stock number by entering a salesperson.
Select Class Search for a stock number by entering a class code.
Select Location Search for a stock number by entering a branch location.
Select Group Search for a stock number by entering a group code.
Select In/Out Search for a stock number by selecting either in or out traffic status from the drop down list.
Select Type Search for a stock number by selecting an equipment type from the drop down list.
Select Base Number Search for a stock number by entering a base number.
Select Options

Search for a stock number by entering an equipment option.

Search for equipment featuring all selected options, leave the (OR) check box unchecked. If the box is checked, the search will find all equipment that has any one, or any combination, of the selected options.

Select Serial Numbers

Search for a stock number by entering a serial number.

Show Extended Information If selected displays extended information on the selected stock number. See the Show Extended Information table for more information.

The following fields appear on the Equipment Listing screen:

Field Description
Stock Number The unit's stock number.
Description A brief description of the unit.
Location The branch location where the unit is current located.
Type The unit's type code (e.g. New or Used).
Group The unit's group code.
Make/Model

The manufacturer of the unit.

The model number on the unit.

Serial Number The unit's serial number.
Customer Fleet#

The unit's fleet number.

Note:  This field will appear only when filtering the search results for Invoiced units.

Reserved

The date the unit was reserved from the manufacturer.

Note:  This field will appear only when filtering the search results for On Order or Presold units.

Hours The amount of hours currently on the unit's hour meter.
Price/ Cost/ Sales Cost/ Reference

The value of the unit.

The value that is displayed will vary depending on the option that is selected in the Price To Load On Equipment Listing Screen switch in security system 800.

Note:  If the value displayed in this field is highlighted, it denotes that there are attachments associated to the selected unit.

Note:  Displayed information in these fields can change depending on your Field Security settings. Click here for information on Field Security settings

The following fields will appear when the Show Extended Information checkbox has been selected:

Extended Information
Field Description
Customer The name of the customer who purchased or rented the unit last. When a unit is rented or invoiced the system automatically enters a name.
Yard Location A designated physical location within the selected branch.
Date Sold The date the unit was sold.
In/Out Whether the unit is in the branch (in) or not in the branch (out). The Traffic Sub Code will appear next to the In/Out field value.
Model Year The model year of the unit.
Hours 2 If available, the amount of hours currently on the second hour meter on the unit.

Note:  In order to optimize the time it takes to get results back on this screen, please ensure that your selection is appropriate. For example setting a date range back multiple years will impact on how quickly the results will come back, so you are better to narrow down your selection as best you can to ensure optimal response time.

Click a Stock Number to open the Machine Details screen.

Click the Need to create a new machine? Click here to add link to add a piece of equipment.

Click the Copy a piece of equipment link to copy a piece of equipment.

Click the Quick add on order units link to create a profile for an equipment unit on order.

Click the Delete Quick Add unit link to delete invoiced equipment units.
