User Profiles

The User Profiles screen allows you to:

From anywhere within IntelliDealer navigate to Administration > Settings> User Profiles.

In the User search field, enter the ID of the user whose profile settings you want to edit.

The fields on the User Profiles screen are:

User Information
Field Description
Status Indicates the user's current status for access to IntelliDealer.
ID MobileAccess

Indicates the user's current status for access to ID MobileAccess.

Click the Enabled or Disabled link to enable or disable a user's access to ID MobileAccess. When a user is enabled for ID MobileAccess, an email is sent to them containing their user name and a randomly generated password.

Margin Worksheet In/Out

Indicates the user's current status in regards to their branch; either In, Stepped Out, Out of Office, Sick, or Vacation.

Note:  In/Out status code appears as WUIO for Web Users.

Contact Name The user's default contact name.
Telephone Number The user's telephone number.
Ext The user's extension number.
Business Cell The user's cell phone number.
Carrier

The user's mobile phone carrier code.

Valid carrier codes are configured on the Mobile Phone Carriers screen.

E-mail Address

The user's contact e-mail address.

Note:  Changes to this field are not allowed if you are in change mode and the user is enabled for ID MobileAccess.

BCC E-mail Address The user's default blind carbon copy (BCC) e-mail address. The BCC configured here does NOT appear in the BCC field when emailing, but in the background.
Screen Language Select an IntelliDealer screen language from the drop down list. Choices are driven by the Legacy system table ELANG. Alternate screen language can be customized on the Text Variables and Field Names screens.
Salesperson Assign a salesperson to a particular user by specifying a value. The salesperson field appears on a number of screens throughout the system and will default to the specified value. The field value is one of the defined salespeople loaded on the Salespeople screen.
Default Printer The user's default printer used within IntelliDealer.
Start At The application/screen the user starts at after entering the IntelliDealer system.
Default Results To Display

The default number of results to display when conducting a search on any of the screens listed in the Start At field above.

By default, the system displays ten search results, including if this field is left blank or set to zero.

Default Location The user's default branch location used within IntelliDealer.
Default Region

Allows you to filter your user's search locations by region. The region code selected includes all branch locations set up with the same region code in Configuration > Miscellaneous > Other > System Settings and are automatically inserted into the Select Location field.

Note:  Default region codes apply only to Select Location fields that allow the use of multiple locations (e.g. Your Customers screen).

Default Category Select a default category for the selected user. This value is used as the Category field default when loading or scheduling new calls and represents the department the user is in. This field is one of the defined categories as loaded on the Categories screen.
Default Technician The user's default technician for use within the IntelliDealer IntelliTech application.
Supplier Employee Number

The user's employee number as it appears in the JD Quote II program. This field is required to map the selected employee to the employee profile and any related quotes in the JD Quote II system.

Evaluation/Inspection Area

Select the role of the user in the Used Equipment Evaluation system. The roles within a dealership directly involved with the used equipment evaluation process and their key functions are :

  • Sales Representative - Authorized to create evaluations, inspection and are able to view historical evaluation price values.

  • National Accounts Sales Representative - Authorized to create evaluations, inspection and are able to view historical evaluation price values.

  • Service Representative - Authorized only to create inspections.

  • Branch Manager - Authorized to create inspections, view historical evaluation price values, and accept or reject evaluations (if the evaluations has been forwarded to them by the used equipment manager).

  • Equipment Manager - Authorized to create evaluations/inspections, view historical evaluation price values, and accept or reject evaluations (if the evaluations has been forwarded to them by the used equipment manager).

  • Used Equipment Manager - Authorized to create evaluations/inspections, view historical evaluation price values, accept or reject evaluations, modify historical evaluations, and view other users pending evaluations.

The Region codes are defined in Configuration > Miscellaneous > Other > System Settings.

Evaluation/Inspection Location

The location related to the user's role in the Used Equipment Evaluation system. Click the magnifying class to chose a location.

Receive E-Mail Notification If selected, this Used Equipment Evaluation user receives an e-mail message when an evaluation is sent to them.
Receive Message If selected, this Used Equipment Evaluation user receives an IntelliDealer message when an evaluation is sent to them.
Equipment Costing

Controls access to the Equipment Costing screen and the type of costing displayed within IntelliDealer.

  • All Costing - displays equipment Current Cost, Sales Cost and Net Book Values.

  • Sales Cost Only - displays equipment sales cost only.

  • No Costing- no costing is displayed (Current Cost, Sales Cost, and Net Book Value) unless the user is authorized (system 800). Prevents the user from accessing the Equipment Costing screen.

Note:   If Sales Cost Only is selected and Cost or Net Book are selected in the Price To Load On Equipment Listing Screen switch in security system 800, the cost displayed on the Equipment Listing screen will be the same as the Sales Cost calculated for the Equipment Costing screen.

User Group Indicates the user group the selected user is associated with. Used with Task Tracker and Message functions within IntelliDealer.
Margin Worksheet Area Indicates the user's manager level for approving margin worksheets; No Designation users cannot approve margin worksheets and must forward them to Level 1, Level 2 or Level 3 managers. Level 1 Managers and Level 2 Managers can approve margin worksheets for margins that fall within the margin range configured for them on the Margin User Levels screen and are assigned to a specific location or region. Level 3 Managers can approve all margin worksheets regardless of the margin and do not have to be assigned to a specific location.
Margin Worksheet Location Indicates the branch location that the user's Margin Worksheet Area status applies to.

To add a new user to the system, click the Need to create a new user profile? Click here to add link.

To change to a user's password, click the Change password link.

To change the Status of the user profile, click the Disable/Enable this user link.

To begin importing a .CSV file containing multiple user information entries, click the Import user profiles link.

Use these buttons to complete your work on the User Profiles screen:

Button Function
Save Saves the changes made to the User Profiles screen.
Delete

Deletes the user from the system.

Once deleted, the In/Out field for the user will show as 'Former'. The user will not show in any magnifying class searches but can be brought up manually in the user administration screen.

If the Security Group Name the user belongs to is the same as the User Name, then deleting the user will also delete the security group. If the Security Group Name and User Name differ, deleting the user will leave the security group.
